ClarityCare Hub Privacy Policy
We respect your privacy. This policy explains what we collect, why, and how we protect it.
Scope
This Privacy Policy applies to ClarityCare Hub’s websites, apps, and services (the “Services”). It does not apply to third-party sites or services that we do not control.
What We Don’t Do
- We do not sell your personal data.
- Outside of the optional “Ask Clara” chat feature described below, we do not intentionally collect patient health information (PHI) or unique patient identifiers. If you choose to upload a medical bill or Explanation of Benefits (EOB) to Ask Clara, that document may contain PHI; we treat that information as highly sensitive and handle it as described in “AI Chat & Medical Bill Uploads” below.
Information We Collect
- Account & Organization Data: basic profile (name, email, role), organization info, and account type (Insurer, Provider, Individual) to operate your account and secure access.
- Security & Logs: login timestamps, IP address, device/browser metadata to protect accounts and the platform.
- Usage Data: feature interactions (search, policy views, forum use) to improve reliability and user experience.
- Geolocation (Optional): with your browser permission or state selection, we use coarse location (e.g., state/county) to auto-fill the Health Cost Estimator and make search results more relevant.
- Estimator Inputs: state, county, procedure category, specific procedure, and hospital, solely to generate a cost estimate and related insights.
- Ask Clara AI Chat & Medical Bill Uploads: the questions you ask Clara, chat transcripts, and any medical bills or Explanations of Benefits (EOBs) you voluntarily upload. These documents may contain personal health and insurance information. We use them only to generate and deliver explanations or related support, as described in this Policy.
- Policy Builder: Insurers may upload or build policies. Insurers retain ownership and responsibility for the policies they create, post, or publish. ClarityCare Hub hosts and formats content for access and search.
- Cookies & Similar Tech: necessary cookies to keep you signed in and secure; optional analytics and functional cookies only with your consent (see Cookie Notice).
How We Use Information
- Provide and secure the Services, including authentication, fraud prevention, and service integrity.
- Deliver core functionality such as policy search, policy builder, Connect (Q&A), email, forums, estimator features, and the Ask Clara AI chat experience.
- Use the content of your questions and any uploaded medical bills or EOBs to generate explanations, summaries, and related insights you request from Clara.
- Improve features and content quality (aggregate/anonymous analytics where permitted).
- Comply with law, enforce our terms, and protect users and the platform.
AI Chat & Medical Bill Uploads
ClarityCare Hub includes an optional “Ask Clara” AI chat feature. You can use Ask Clara without uploading any documents. If you choose to upload a medical bill or Explanation of Benefits:
- Voluntary Upload: Uploading is optional. You should only upload documents that you have the right to share and that you are comfortable sharing for this purpose.
- Use of the Document: We use the document, together with your chat messages, to generate explanations of charges, benefits, and related information.
- Storage & Security: Uploaded documents are transmitted over HTTPS and stored in access-controlled, encrypted cloud storage. Access is limited to systems and personnel who need it to operate and secure the feature.
- Retention & Auto-Expiration: We design this feature so that uploaded documents are retained only as long as reasonably necessary to fulfill your request, maintain service reliability and security, and comply with law. After this period, documents are automatically deleted or de-identified from our active systems.
- No Use for Advertising or Sale: We do not sell uploaded medical bills or EOBs, and we do not use them for advertising.
Sharing
- No sale of personal data.
- Service Providers: we may share data with vetted processors (e.g., hosting, security, email delivery, and AI processing providers) under contracts requiring confidentiality and use only to provide services to us.
- Legal: we may disclose information to comply with applicable law, regulation, legal process, or enforceable governmental requests, or to enforce our rights.
Data Retention
We retain personal data for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. Insurer policy content is retained per the owner’s requirements and our archival practices. Documents you upload to Ask Clara (such as medical bills or EOBs) are retained only as described in “AI Chat & Medical Bill Uploads” above.
Your Choices
- Cookie Preferences: manage optional cookies any time via Cookie Settings.
- Location Controls: you can deny or revoke browser location permission; you can also select your state/county manually.
- Account: you can access, update, or request deletion of your account (subject to legal/operational constraints).
- Ask Clara Attachments: you can choose not to upload documents and may instead type your question. Where available, you may also request that we delete specific uploaded documents by contacting us.
Security
We use administrative, technical, and physical safeguards appropriate to the nature of the data we process, including using HTTPS for data in transit and encryption and access controls for data at rest (such as uploaded medical bills and EOBs). No system is perfectly secure; we recommend strong, unique passwords and enabling organizational controls where available.
International & State-Specific Notices
Depending on your location, you may have additional rights (e.g., GDPR in the EU/UK, CCPA/CPRA in California). You can exercise rights or ask questions at support@claritycarehub.com. For California residents, you may use the Cookie Settings link as a “Do Not Sell or Share” mechanism (we do not sell data).
