ClarityCare Hub Privacy Policy

We respect your privacy. This policy explains what we collect, why, and how we protect it.

Scope

This Privacy Policy applies to ClarityCare Hub’s websites, apps, and services (the “Services”). It does not apply to third-party sites or services that we do not control.

What We Don’t Do

  • We do not sell your personal data.
  • Outside of the optional “Ask Clara” chat feature described below, we do not intentionally collect patient health information (PHI) or unique patient identifiers. If you choose to upload a medical bill or Explanation of Benefits (EOB) to Ask Clara, that document may contain PHI; we treat that information as highly sensitive and handle it as described in “AI Chat & Medical Bill Uploads” below.

Information We Collect

  • Account & Organization Data: basic profile (name, email, role), organization info, and account type (Insurer, Provider, Individual) to operate your account and secure access.
  • Security & Logs: login timestamps, IP address, device/browser metadata to protect accounts and the platform.
  • Usage Data: feature interactions (search, policy views, forum use) to improve reliability and user experience.
  • Geolocation (Optional): with your browser permission or state selection, we use coarse location (e.g., state/county) to auto-fill the Health Cost Estimator and make search results more relevant.
  • Estimator Inputs: state, county, procedure category, specific procedure, and hospital, solely to generate a cost estimate and related insights.
  • Ask Clara AI Chat & Medical Bill Uploads: the questions you ask Clara, chat transcripts, and any medical bills or Explanations of Benefits (EOBs) you voluntarily upload. These documents may contain personal health and insurance information. We use them only to generate and deliver explanations or related support, as described in this Policy.
  • Policy Builder: Insurers may upload or build policies. Insurers retain ownership and responsibility for the policies they create, post, or publish. ClarityCare Hub hosts and formats content for access and search.
  • Cookies & Similar Tech: necessary cookies to keep you signed in and secure; optional analytics and functional cookies only with your consent (see Cookie Notice).

How We Use Information

  • Provide and secure the Services, including authentication, fraud prevention, and service integrity.
  • Deliver core functionality such as policy search, policy builder, Connect (Q&A), email, forums, estimator features, and the Ask Clara AI chat experience.
  • Use the content of your questions and any uploaded medical bills or EOBs to generate explanations, summaries, and related insights you request from Clara.
  • Improve features and content quality (aggregate/anonymous analytics where permitted).
  • Comply with law, enforce our terms, and protect users and the platform.

AI Chat & Medical Bill Uploads

ClarityCare Hub includes an optional “Ask Clara” AI chat feature. You can use Ask Clara without uploading any documents. If you choose to upload a medical bill or Explanation of Benefits:

  • Voluntary Upload: Uploading is optional. You should only upload documents that you have the right to share and that you are comfortable sharing for this purpose.
  • Use of the Document: We use the document, together with your chat messages, to generate explanations of charges, benefits, and related information.
  • Storage & Security: Uploaded documents are transmitted over HTTPS and stored in access-controlled, encrypted cloud storage. Access is limited to systems and personnel who need it to operate and secure the feature.
  • Retention & Auto-Expiration: We design this feature so that uploaded documents are retained only as long as reasonably necessary to fulfill your request, maintain service reliability and security, and comply with law. After this period, documents are automatically deleted or de-identified from our active systems.
  • No Use for Advertising or Sale: We do not sell uploaded medical bills or EOBs, and we do not use them for advertising.

Sharing

  • No sale of personal data.
  • Service Providers: we may share data with vetted processors (e.g., hosting, security, email delivery, and AI processing providers) under contracts requiring confidentiality and use only to provide services to us.
  • Legal: we may disclose information to comply with applicable law, regulation, legal process, or enforceable governmental requests, or to enforce our rights.

Data Retention

We retain personal data for as long as needed to provide the Services, meet legal obligations, resolve disputes, and enforce agreements. Insurer policy content is retained per the owner’s requirements and our archival practices. Documents you upload to Ask Clara (such as medical bills or EOBs) are retained only as described in “AI Chat & Medical Bill Uploads” above.

Your Choices

  • Cookie Preferences: manage optional cookies any time via Cookie Settings.
  • Location Controls: you can deny or revoke browser location permission; you can also select your state/county manually.
  • Account: you can access, update, or request deletion of your account (subject to legal/operational constraints).
  • Ask Clara Attachments: you can choose not to upload documents and may instead type your question. Where available, you may also request that we delete specific uploaded documents by contacting us.

Security

We use administrative, technical, and physical safeguards appropriate to the nature of the data we process, including using HTTPS for data in transit and encryption and access controls for data at rest (such as uploaded medical bills and EOBs). No system is perfectly secure; we recommend strong, unique passwords and enabling organizational controls where available.

International & State-Specific Notices

Depending on your location, you may have additional rights (e.g., GDPR in the EU/UK, CCPA/CPRA in California). You can exercise rights or ask questions at support@claritycarehub.com. For California residents, you may use the Cookie Settings link as a “Do Not Sell or Share” mechanism (we do not sell data).

ClarityCare Hub Terms of Service

Please read these terms carefully. By using the Services, you agree to them.

Overview

These Terms of Service (“Terms”) govern your access to and use of ClarityCare Hub’s Services. If you use the Services on behalf of an organization, you represent that you have authority to bind that organization.

Accounts & Eligibility

  • You must provide accurate information and keep your account secure.
  • You are responsible for all activity under your account.
  • Organizations may set additional rules for their users.

Acceptable Use

  • No unlawful, infringing, or harmful activity.
  • No attempts to disrupt, probe, or bypass security or access controls.
  • No unauthorized data scraping or bulk extraction without written permission.
  • Do not upload medical bills, EOBs, or other documents that you are not authorized to share, or that contain someone else’s personal information without their permission.

Content & Ownership

  • Insurer Policy Builder: Insurers (or their authorized users) own and are solely responsible for the policies and content they upload or create. By submitting content, you grant us a non-exclusive license to host, process, format, index, and display it as part of the Services.
  • Provider/Individual Use: You may view and use publicly available or shared policies for lawful, internal, informational purposes only.
  • Ask Clara & Uploaded Documents: You retain any rights you have in documents and information you upload to Ask Clara (including medical bills and EOBs). By uploading them, you grant us and our service providers a non-exclusive license to host, process, analyze, and display them back to you as part of the Services.
  • Feedback: If you provide feedback, you grant us a license to use it to improve the Services without obligation.

Forum & Messaging Guidelines

  • Be professional and respectful. Do not post confidential, proprietary, or PHI/identifiers.
  • No spam, harassment, impersonation, or misleading claims.
  • We may moderate, remove, or restrict content or accounts that violate these Terms or applicable law.

Health Cost Estimator

  • Estimator outputs are informational and based on publicly available data and inputs you provide (state, county, category, specific procedure, hospital). They are not guaranteed and may differ from actual charges, network rates, or benefits.
  • No clinical advice is provided. Always consult your provider and insurer for definitive information.

Ask Clara AI Chat & Medical Bill Uploads

  • Optional Feature: The Ask Clara chat is an optional tool to help you better understand benefits, costs, and common billing concepts. You may use it with or without uploading documents.
  • Document Uploads: If you choose to upload a medical bill or Explanation of Benefits (EOB), you represent that you have the right to share that document and that you are doing so solely so we can analyze and explain it back to you.
  • No Medical, Legal, or Financial Advice: Ask Clara responses are for informational purposes only and are not a substitute for professional medical, legal, financial, or benefits advice. Always confirm coverage and costs directly with your insurer and providers.
  • AI-Generated Content: Ask Clara uses artificial intelligence models, which may sometimes be incorrect, incomplete, or outdated. You are responsible for reviewing responses and deciding how to act on them.
  • Use of Uploaded Content: You grant us a license to host, process, and analyze uploaded documents, and to share them with our service providers as needed to operate Ask Clara, consistent with our Privacy Policy.

Privacy

Your use is also governed by our Privacy Policy.

Service Changes & Availability

We may improve, update, or discontinue features from time to time. We strive for high availability but do not guarantee uninterrupted service.

Disclaimers

The Services are provided “AS IS”. To the fullest extent permitted by law, we disclaim warranties of merchantability, fitness for a particular purpose, and non-infringement.

Some features, including Ask Clara, rely on artificial intelligence and automated systems. Results may be inaccurate or incomplete. We do not guarantee that any estimate, explanation, or other output reflects your actual coverage, benefits, charges, or legal rights.

Limitation of Liability

To the fullest extent permitted by law, ClarityCare Hub is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill.

Indemnity

You agree to indemnify and hold ClarityCare Hub harmless from claims arising out of your misuse of the Services or violation of these Terms.

Governing Law & Disputes

These Terms are governed by the laws of the State of Massachusetts, without regard to conflict-of-law rules. Venue and jurisdiction will lie in the state and federal courts located in Massachusetts.

Changes to Terms

We may update these Terms. Material changes will be notified via the Services. Continued use after changes becomes effective constitutes acceptance.
